SUPPLIERS AGREEMENT FORM

 

As a supplier, you are required to read and acknowledge the following terms and conditions before providing your services at Brympton House:

1. Upon arrival (at a pre-arranged and agreed-upon time), please report to your client's wedding coordinator or evening event manager for further instructions and updates. You are responsible for providing all necessary equipment to perform your service and must adhere to all instructions given by the wedding coordinator and evening event manager.

2. Please be prepared for changing weather conditions and ensure you have all appropriate equipment required to perform your service in all weather. The venue will provide power at no charge to you (unless you are supplying a photo booth). There are no external sockets for supplier use. In the event of a power outage, please ensure you have a supply of back-up power.

3. The venue will not be held responsible for any loss and/or damage to your equipment or cancellation of your booking. You acknowledge that you have contracted directly with the client for your services, and Brympton House is not contractually responsible for any payment to you.

4. You are responsible for your event insurance for personal injury to you, your clients, their guests, subcontractors, or other suppliers or damage to the venue's property, whether caused by accident or negligence. Upon request, a copy of this insurance should be sent to the wedding coordinator and/or the evening event manager.

5. You agree to indemnify Brympton House from and against any claim, action, suit, damages, costs, personal injury, loss, expense, or liability of any kind arising as a result of any breach of this agreement by you or your employees or subcontractors, any breach of the law by you or your employees or subcontractors, and any negligent or wrongful act or omission by you or your employees or subcontractors, except to the extent that such loss or damage is caused by the negligence or wrongful act or omission by Brympton House.

Please note the specific guidelines for your type of service:


- Hair & Make Up: Confirm your arrival time prior to the event and ensure that hair and make up is completed 30 minutes before the ceremony starting time.
- Photographers & Videographers: The use of drones is not permitted. Any media posts and pictures promoting your service at this event must credit Brympton House.
- Musicians: All musicians must contact Brympton House for prior approval. The noise level must not exceed 90 decibels. Amplified music is only allowed in specific areas of the venue (Great Hall and Star Chamber). Music is to stop 15 minutes before the public exits the evening reception space.
- Cake Suppliers: Ensure the delivery is at the pre-arranged time. There is no cool room available for cake storage.

 - Caterers:
If you are a non-approved caterer, you must provide the following documentation to the venue via the following email address: hellobrymptonhousesuppliers@gmail.com with the wedding date and your clients names as the subject. 
(a) Current Food Safety Management Procedures, including relevant HACCP documents for the event;
(b) Food hygiene certificates for all staff;
(c) First Aid certificates for the designated staff member(s);
(d) PAT test and gas safety certificates for any equipment brought onto the premises.

You must confirm and agree on your arrival time with the wedding coordinator prior to the event. You will be expected to have cleaned and vacated the kitchen by 9 pm (21:00 hours).

Catering Spaces Protocol:
(a) Prior to the event, you must visit the venue to assess the facilities, access for parking, etc., at an agreed time and date with your client's wedding coordinator;
(b) You will provide a refrigerated vehicle for transporting food to the Venue and for storing chilled food while at the Venue;
(c)  You will be responsible for the removal of all of your refuse/waste from the venue;
(d) You will be responsible for leaving all areas you  use in a clean and tidy state, including but not limited to oven, sink areas, stainless steel prep surfaces, surrounding floors, storage areas, and dining spaces. The latter should be swept, with rubbish removed and chairs/tables left stacked. You are responsible for any loss or damage to the venues property, equipment, and supplies.
(e) The venue is not responsible for damage to your equipment while you are at the venue. The venue is also not responsible for injury to you,  your staff, employees, or other parties while using the catering spaces. You are responsible for providing your own cooking supplies, cookware, utensils, storage racks, and cleaning materials.
(f) You are expected to serve drinks throughout the drinks reception, with the provision of tablecloths, ice, and serving utensils. Glassware will be provided if your client has opted for a drinks package through Bacchus Bars; otherwise, you are expected to provide the same.
(g) You are expected to set up the dining space as per your client’s table plan with tables and chairs (provided by the Venue unless otherwise specified) and to provide linen, crockery, cutlery, and glassware for the same. The service of the client’s alcohol is to be provided by you throughout the meal. The caterer is expected to provide wine coolers and ice during dinner.
(h) You are expected to lay out place cards, menus, and napkins.
(i) You agree to remove the client’s alcohol from the tables during the dessert course to comply with the venue's health and safety policy and not to permit alcohol to leave the dining spaces.
